1) Acceptance of these Terms
By accessing our website, booking an appointment, or receiving services from Steadfast Mobile Notary & Signing Services ("we," "us," or "our"), you agree to these Terms & Conditions and to any policies referenced here (including the Refund & Cancellation Policy and Privacy Policy). If you do not agree, please do not use our site or services.
2) Who We Are / No Legal Advice
We provide notarial and signing services (mobile/in‑person and Remote Online Notarization (RON)) in Oregon. We are not attorneys and do not provide legal advice, legal representation, or select notarial certificates for you. Nothing on this site or in our communications creates an attorney‑client relationship or should be relied on as legal, tax, or financial advice. Please consult the appropriate professional for those matters.
3) Service Area & Eligibility

Service area: Central Oregon and surrounding communities; mobile travel is available and billed per our current pricing.

Eligibility: You must be at least 18, able to present acceptable, current government‑issued photo ID, and personally appear (in‑person or via an approved RON platform). For certain acts, additional requirements may apply (e.g., personal knowledge, credible witnesses).

Oregon law applies: Our Oregon notaries operate under Oregon law (including ORS ch. 194 and related administrative rules). We may decline or postpone a notarial act when required or permitted by law.
4) Appointments, Cancellations & No‑Shows

Scheduling: Your appointment is confirmed upon our written confirmation (email/text). We may provide an arrival window for mobile appointments.

Preparation: Have documents complete (no blanks you expect the notary to fill), acceptable ID, and any required witnesses ready.

Cancellations/reschedules: See our Refund & Cancellation Policy for notice windows and fees.

No‑shows & late arrivals: If you are more than 15 minutes late without contact, the appointment may be marked a no‑show and travel/platform fees may be retained.

Wait time: If we are kept waiting beyond the appointment window, a wait‑time fee may apply.
5) Fees, Quotes & Payments

Notarial fees are charged per act in accordance with Oregon law. Additional charges (e.g., mobile travel, after‑hours, printing/scanbacks, RON platform fees, parking/tolls, shipping/courier) are separate and disclosed in advance when practicable.

Quotes/estimates are good‑faith approximations and may change if scope, location, or document count changes.

Payment terms: Unless otherwise stated, payment is due upon completion of services (or prior to shipment for return packages). We accept Venmo, PayPal, cash, or business checks. Personal checks are accepted on a case-by-case basis.

Chargebacks/NSF: Please contact us first to resolve any issue; unauthorized chargebacks and NSF checks may incur bank fees for which Steadfast Mobile Notary & Signing Services will not be held liable.
6) Shipping & Return of Documents

Unless otherwise requested, we use tracked USPS for standard returns; other carriers or expedited options are available at your cost.

Risk of loss: Title and risk of loss pass to you once the carrier accepts the package. Carrier delays or errors are outside our control.

Shipping/postage and supplies are non‑refundable once shipped.
7) Document Responsibility & Confidentiality

You are responsible for the content of your documents, selecting the appropriate notarial act/certificate, and ensuring the document is accepted by the receiving party.

We do not draft or revise your documents and generally do not keep copies of your executed documents unless specifically requested and authorized by you (and then stored in accordance with our Privacy Policy).

We safeguard nonpublic information obtained in the course of providing services and maintain an Oregon notary journal as required by law. We do not retain images of IDs.
8) Identification & Refusals
We must be able to positively identify the signer using acceptable, unexpired ID (or as otherwise allowed by law). We may refuse or postpone a notarial act if: identification is insufficient; the signer is not present; the document is incomplete; the signer does not appear aware or willing; the requested act is improper; or any other legal requirement is not met.
9) Remote Online Notarization (RON)

RON appointments are conducted on an approved platform with audio‑video recording, identity proofing, and credential analysis as required.

A stable internet connection, a compatible device, and a quiet, well‑lit environment are your responsibility. If technology issues prevent completion, we may reschedule; platform/session fees may be non‑refundable once a session begins (see Refund Policy).

Some recipients will not accept electronically notarized documents; confirm acceptance before scheduling RON.
10) Witnesses
If your document requires witnesses, you are responsible for providing qualified, disinterested witnesses who meet the recipient’s requirements. We can attempt to arrange witnesses by prior request; additional fees may apply and availability is not guaranteed.
11) Limitations of Liability
To the fullest extent permitted by law:

Our total liability for any claim arising from services or this site is limited to the amount you paid for the specific service giving rise to the claim.

We are not liable for indirect, incidental, special, consequential, or punitive damages; carrier delays; recipient rejection of your document or certificate; or losses arising from your failure to obtain legal advice, provide accurate information, or meet third‑party requirements.

You agree to indemnify and hold harmless Steadfast Mobile Notary & Signing Services

and its personnel from claims related to your documents, instructions, or misuse of the site/services.
12) Intellectual Property (Website)
The website, design, text, graphics, logos, and other content are owned by or licensed to Steadfast Mobile Notary & Signing Services and are protected by law. You may not copy, reuse, or exploit website content without prior written permission, other than for personal, non‑commercial use of our services.
13) Acceptable Use & Prohibited Conduct
You agree not to: (a) interfere with site operation or security; (b) misrepresent your identity or authority; (c) use our site/services for unlawful purposes; (d) upload harmful code; (e) scrape or harvest data without consent.
14) Testimonials, Reviews & Marketing
If you provide a review/testimonial, you grant us permission to display and share it (with your first name/initials and city, where applicable) in marketing materials, subject to our Privacy Policy. We may request—but will not require—proof that a review reflects a genuine customer experience.
15) Privacy
We respect your privacy. Please review our Privacy Policy to understand how we collect, use, and protect personal information, including information collected during online scheduling, invoicing, and RON sessions.
16) Accessibility
We aim to provide accessible services and web content. If you encounter an accessibility barrier, contact us and we will work to provide a reasonable accommodation.
17) Third‑Party Links & Tools
Our site may link to third‑party sites (e.g., scheduling platforms, payment processors, RON platforms). These are provided for convenience; we do not control and are not responsible for their content, policies, or practices.
18) Electronic Communications & Signatures
By contacting us or booking online, you consent to receive communications by email, text, or phone. Where permitted, you agree that electronic signatures/records satisfy legal requirements for written documents and signatures.
19) Force Majeure
We are not responsible for delays or failures caused by events beyond our reasonable control (e.g., severe weather, outages, illness, strikes, acts of God, governmental actions).
20) Changes to These Terms
We may update these Terms from time to time. Changes take effect upon posting to the website with the updated effective date. Your continued use of the site or services after changes constitutes acceptance.
21) Governing Law & Venue
These Terms and any dispute between you and Steadfast Mobile Notary & Signing Services are governed by the laws of the State of Oregon, without regard to conflicts of law. Exclusive venue lies in the state courts located in Crook County, Oregon (or, if federal jurisdiction applies, the U.S. District Court for the District of Oregon).
